The Challenge
The relationship between Insignia Financial (Insignia) and Electronic Security Technologies (EST) began with a single door in Newcastle. That initial deployment served as a modest proof of concept that established the foundation for a national access control programme, supporting Insignia as it transformed its property portfolio and migrated to a single, enterprise-wide security platform.
EST was initially engaged following a referral from Insignia Financial's Facilities team to deliver access control services across four regional offices: Newcastle, Canberra, Albury and Wollongong. Each site was successfully migrated to EST's hosted Protege GX SaaS platform, establishing a consistent and centrally managed security environment.
The engagement quickly expanded as Insignia relocated its national headquarters from Kent Street to Parkline Place (Sydney) and undertook the separation of its technology environment from former parent company, NAB. This created a significant access control challenge, requiring multiple sites, including Docklands (VIC) and Parramatta (NSW), to be rapidly transitioned from NAB's legacy security infrastructure onto Protege GX while maintaining business continuity.
Thinking beyond the platform
One of the defining moments of the project came early in discussions with Insignia's property and technology teams. The initial question was a familiar one: which access control platform should we standardise on?
Rather than focusing on the platform itself, EST encouraged the team to step back and consider the broader business objective. Nathan Cayirylys introduced the concept of card interoperability, drawing on the Australian Defence Force's Defence Common Access Card (DCAC) programme as an example of how a single credential can provide seamless access across multiple sites, regardless of the underlying access control platform.
The discussion shifted from selecting software to designing a future-ready access strategy. While Insignia ultimately chose to standardise on Protege GX to provide a single platform for managing users nationally, the broader principle remained. The solution was designed around flexibility, scalability and the user experience, not simply the technology itself.
"The Protege GX web client was a huge win for them," Nathan said. "They didn't need to install software on dedicated machines, and administrators could manage the whole estate from a browser."


The Solution
Insignia's portfolio included buildings managed by a range of base build operators, each running their own proprietary card systems. The solution needed to work within all of them without requiring building managers to change their infrastructure.
The card challenge: interoperability at scale
EST deployed a dual-technology card: using the iClass component for base build access (compatible with existing iClass DESFire card reader technology) and the DESFire EV3 component for Insignia's own corporate access control, carrying their dedicated corporate key set. This approach allowed a single credential to satisfy both tenancy and building access requirements at the vast majority of sites.
In Hobart, running on a Challenger-based base build, a bespoke card overlay solution was engineered for the approximately 100 users at that location. By the time the programme reached full momentum, more than 5,000 cards had been issued across the national estate.
Migrating at speed: the Parramatta and Melbourne cutovers
Delivering a national access control programme across a live financial services environment required far more than technical expertise. The programme was delivered within compressed implementation timeframes, while supporting a business where security, availability and operational continuity were non-negotiable.
Electronic Security Technologies adopted a rigorous pre-deployment methodology. Every controller was assembled, programmed and witness-tested in the workshop before deployment. Inputs, outputs and reader assignments were configured in advance, enabling installation teams to focus on installation, commissioning and validation while minimising programming activities in the field.
This approach significantly streamlined on-site delivery. At Insignia's Melbourne headquarters, more than 50 doors across three levels were migrated in under 2 weeks. In Parramatta, a five-level office comprising 36 doors was transitioned in just four days.
Each migration was carefully staged during planned maintenance windows. Security personnel were briefed in advance, contingency arrangements confirmed, and existing systems remained operational until the new environment had been fully validated.
While each major site required approximately 40 to 50 hours of engineering and planning before installation commenced, that investment translated into efficient delivery, minimal disruption to business operations, and a controlled transition with significantly reduced implementation risk.
Beyond access: integrations that added real business value
What distinguished the Insignia deployment from a straightforward migration was the depth of integration built on top of the Protege GX core. The team delivered three significant integrations that extended the platform's value well beyond door control.
Active Directory / SSO: Protege GX was connected to Insignia's corporate AD infrastructure, enabling single sign-on for system administrators and reducing the overhead of user provisioning across the national estate.
Yellowbox Workplace Management: A dedicated, custom-built integration was developed between Protege GX and Yellowbox, Insignia's hot-desk booking and floor management platform. The integration enabled the client to correlate badge-in events, Wi-Fi logins, and desk booking data to generate real occupancy intelligence. The result: Insignia can now determine whether leasing six levels of a building is justified, or whether they can consolidate, a decision with direct financial consequence.
Automated Access Reporting: Weekly card activity and user reports are generated and distributed automatically from Protege GX, feeding directly into operational and compliance workflows without manual extraction.

The Outcome
The Insignia Financial programme is now one of the most technically sophisticated enterprise access deployments in the Australian financial services sector. A national workforce across 15+ sites carries a single credential. Administrators manage the entire estate from one cloud-hosted platform. The integration with workplace management software means the access control system is actively informing real estate strategy, not just controlling doors.
